Vocantas Inc. is committed to controlling the collection, use and disclosure of the personal information provided by its customers. The Vocantas Privacy Policy is compliant with federal and provincial privacy laws including the federal Personal Information Protection and Electronic Documents Act.
What is personal information?
"Personal information" is personally identifiable information such as your name, residential address and e-mail address and includes information about your product and service purchases, credit information and billing records, service and recorded complaints.
Personal information is collected by Vocantas only when you specifically and knowingly choose to provide it to us such as when you choose to receive information, products or services from Vocantas.
We may also receive personal information from our business partners and other third parties provided that such third parties confirm to us that they have obtained your consent to the disclosure of your personal information.
Publicly available information, such as a public directory listing of your name, address, telephone number and electronic address, is not considered personal information.
Your personal information will not be used for any other purpose without your consent.
Collection and use of personal information
Vocantas collects and uses your personal information primarily for the purpose of providing you with the information, products or services you have requested from us.
We use email addresses to send requested information and to respond to email communications received. We also maintain mailing lists which we intend to use occasionally to send information on new and updated offerings from Vocantas which we believe would be of interest to you. At no time will Vocantas sell, trade, rent or distribute personal information to any outside organization.
You can visit our web site without telling us who you are or revealing any information about yourself. Our Web server does, however, collect domain names and other common types of traffic information in log files. We use this information to study traffic patterns, including: the times people visit, the number of pages they view, the average duration of a visit, and the most frequently visited areas. This analysis helps us improve the content and structure of our online offerings.
We provide you with the opportunity to opt-out of receiving communications from Vocantas every time you receive material from us. We will seek your prior consent to the collection, use and disclosure of the information as required by applicable privacy legislation. Subject to legal and contractual requirements, you can refuse to consent to our collection, use or disclosure of information about you. You may also withdraw your consent to any further collection, use or disclosure of information about you at any time by giving us reasonable notice. If our intended disclosures or uses of information change, we will notify you accordingly.
Automated calling process
To maintain Vocantas' reputation for its strict adherence to Canadian and North American privacy regulations (PIPEDA and HIPPA), the following policies and procedures are implemented with regards to the initiation of an automated telephone call as well as the management of the data collected during the call.
At no time does Vocantas use an individual's proper name during the telephone call. A unique identifier for each contact is requested from the client as well as a corresponding telephone number. The unique identifier can be any number or alpha-numeric combination. This information is required to contact the correct individual so that a series of questions can be asked which are designed to establish if the patient is experiencing any issues or complications.
All connected calls will request the recipient to confirm that they are the designated occupant of the number that was contacted. If the caller confirms that they are the correct occupant, they will be asked if they agree to participate in the survey. If the caller is not the correct occupant, the call will be retried at another time and the system will hang up. If the caller does not agree to participate in the survey, they will be thanked and the system will hang up. If the caller confirms that they are the correct occupant, they will be asked the survey questions and the data will be collected.
Data transfer procedure
All data collected from the calls is encrypted and sent (or uploaded if established in advance to a secure write-only server at the client location) to the designated administrative contact at the client location. Any change to the designated administrative contact must be confirmed in advance in writing.
At no time does Vocantas keep any data that identifies the telephone number that was called, or the unique identifier of the call recipient. It is the responsibility of the administrative contact at the client location to confirm receipt of the data and secure the information as Vocantas will not have any back up data to provide. Vocantas will only retain the system data of any call outcome as well as the responses for analysis related to future enhancements. The absence of unique identifiers or telephone numbers ensures the complete and consistent privacy of the call recipient.
Changes to the Privacy Policy
If you have any suggestions that you believe will help us improve our policies or practices, we welcome your feedback via e-mail to info@vocantas.com. Whenever there are changes to the Vocantas Privacy Policy, a new Privacy Policy will be placed on the Vocantas website.
